Contractor FAQ template

Questions and answers about 1099s and Wingspan that you can adapt and publish in your own help center for your contractors.

Use this template to publish a help article for your contractors about their 1099s and Wingspan. Contractors who can find answers on your site send fewer questions to your team.

Before you publish:

  • Replace [Your Company] with your company name.
  • Replace [Company Email] with your 1099 support email.
  • Update the tax year and dates for the season you're filing.
  • Remove answers that don't apply to you, such as the 1099-MISC (Box 6) item if you file only 1099-NEC.

Everything below the line is the template.

Understanding your 1099 from [Your Company]

1099 basics

What is a 1099 tax form, and do I need to file one?

A 1099 reports income you earned as a contractor or freelancer that isn't reported on a W-2. If a company paid you $600 or more in a tax year, it must send a 1099 to you and to the IRS. Wingspan supports 1099-NEC, and 1099-MISC for Box 6 (medical and health care payments) only. You don't file the 1099 yourself (the payer does), but you'll need its information to report your income accurately on your tax return.

What are 1099 forms?

1099 forms report kinds of income that aren't on a W-2. They're submitted to the IRS and often to state tax departments. For contractors and freelancers, the 1099 reports income from self-employment, contract work, or other non-employee compensation.

Will I receive a 1099?

You'll receive a 1099 if:

  • You earned $600 or more during the tax year. Some states require reporting for lower amounts.
  • Your business entity type requires 1099 reporting. S corporations and C corporations typically don't receive 1099s.
  • You gave your payer valid W-9 information.
  • Your email address on file is correct and can receive email.
  • For a 1099-MISC, your payer classified the earnings as medical or health care payments (Box 6).

Using Wingspan

What is Wingspan, and how do I use it?

Wingspan is a secure platform that helps you manage your tax documents with [Your Company]. In Wingspan you can:

  • Submit your W-9 information securely.
  • Access your tax documents.
  • Get support through a web-based portal.

How does Wingspan send invitations?

Wingspan sends invitations from [email protected] to the email address you gave [Your Company]. If you didn't receive one, request a new invite with Wingspan's invite request tool.

Why haven't I received an invitation from Wingspan?

A few common reasons:

  • It's in your spam or junk folder.
  • The email address on file is wrong.
  • You earned less than the reporting threshold.
  • Your business type doesn't require 1099 reporting.
  • It went to a different email address.

Accessing your documents

When will I get my 1099?

Your 1099 is available when your payer submits it, usually by January 31 after the tax year. You'll get instructions for opening it online in Wingspan, or you can ask for a mailed copy during sign-up.

How will I know my 1099 is ready?

If you chose electronic delivery, Wingspan emails you when it's available. Sign in to your account to open it.

How do I access my 1099 tax forms?

Go to https://my.wingspan.app/member/tax-documents. Keep in mind:

  • Wingspan has 1099s only for years when your payer used Wingspan.
  • For earlier years filed another way, contact your payer.
  • Forms are typically available by January 31 each year.

How do I sign in?

Go to https://my.wingspan.app/1099/sign-in and enter your email address. You'll receive a 6-digit verification code on your phone to finish signing in.

Changes and corrections

What if there's a mistake on my 1099?

If the amount, address, name, or tax ID is wrong, request a correction through Wingspan using the correction request process.

  • Only your payer can approve and process corrections.
  • Wingspan support can't make these changes directly.
  • Your payer reviews the request and decides whether to approve it.

How can I see the payments included in my 1099?

You can review every payment included in your 1099 total in the Wingspan app and download them as a CSV.

What if I don't agree with the amount on my 1099?

  1. Review the payment history in your Wingspan account.
  2. Submit a correction request in Wingspan, noting which payments should or shouldn't be included.
  3. Wait for your payer to review and approve the correction.

Account setup and security

Why does Wingspan need my Social Security number?

If you don't have an EIN, Wingspan needs your Social Security number to file your 1099 with the IRS. Wingspan maintains SOC 2 and PCI compliance to protect your sensitive information.

Can I choose not to give Wingspan my Social Security number?

Yes. If you have an EIN and a business name, you can provide those instead.

What if I have more than one business?

If you're paid under different entities or tax IDs, you need a separate Wingspan account for each. Each account has its own W-9 information and tax documents.

What happens if I don't sign up for Wingspan?

If you don't sign up and your payer has your W-9 information, your 1099 is mailed to the address on file. However:

  • You can't request corrections without a Wingspan account.
  • If your payer doesn't have your W-9 information, you must sign up and provide it.
  • Not providing W-9 information may lead to payment withholding or legal penalties.
