File and deliver 1099s

Submit 1099-NEC and 1099-MISC (Box 6) forms to the IRS and states, see how contractors receive them, and understand mailing limits and delivery tracking.

Use this page to submit your 1099-NEC or 1099-MISC (Box 6) forms to federal and state authorities and to understand how each contractor receives their copy.

You file 1099s in the Wingspan web app. Submitting and delivering 1099s isn't available in the V3 API yet. Contact support if you need it.

Before you file

Key dates for the 2025 tax year:

  • January 20, 2026: Recommended date to file through Wingspan so you meet IRS timelines.
  • January 25, 2026: Last day to e-file 1099s through Wingspan for the 2025 season.
  • January 31, 2026: IRS filing deadline for 1099-NEC and 1099-MISC (Box 6). Penalties may apply to late filings.

Also check:

  • You have administrator access. Only administrators can file 1099s.
  • Every form you want to file shows Ready: The TIN is verified and the filing threshold is met. See 1099 statuses.
  • Your state filing settings are current.

Combined eligibility for shared TINs

A contractor paid less than the federal threshold ($600 for the 2025 tax year) is normally Excluded. Contractors who share a TIN are checked on their combined total instead. When the combined amount exceeds the threshold, each form is marked Ready, as long as the other eligibility criteria are met. The grouped forms panel shows the combined total.

Submit your forms

Wingspan files the federal copy and the applicable state copies in one submission. You can't file with the IRS and the states separately. The state for each form comes from the contractor's address.

  1. On the 1099 filing dashboard, review your Ready forms one last time. Every Ready form is filed when you submit.
  2. Click Submit for filing.
  3. Confirm your payer information. Click Edit at the top right to change it; your changes also update the Tax Profile under Settings. If you file with incorrect payer information, the IRS requires you to mail a letter with the revisions.
  4. Accept the legal declaration, a standard IRS penalty of perjury statement.
  5. Click Submit tax forms. A success message confirms the submission.

After you submit

The person who submitted receives a confirmation email. You can download each filed form from the contractor's 1099 details page on the dashboard.

The IRS usually responds within one business day:

  • Accepted: Nothing else to do. You and the contractor can download the form. If you find an error later, file a correction.
  • Rejected: The form returns to Action required. Fix the problem and resubmit.

How contractors receive their forms

Important: Contractors whose W-9 information you uploaded, rather than submitted through Wingspan onboarding, can't view their tax forms or request corrections in Wingspan. There's no secure link between the contractor's two-factor sign-in and W-9 data you provided, and this prevents exposing tax information if the email you supplied is wrong.

Organizations with multiple accounts

Where you submit from decides which payer information appears on the forms:

  1. Submitting from the root organization account files for the root account and all its sub-organization accounts in one submission. Each form shows the root organization's EIN and legal business name as the payer.
  2. Submitting from an edge organization account (any sub-account) files only for that account. Each form shows that account's EIN and legal business name.
  3. Root filing with the sub-organization name lists the root's EIN and legal business name followed by the sub-organization's name, in the format {Root Organization Name} FBO {Sub-Organization Name}. For example, if the root is Northwind Holdings and the sub-organization is Northwind Staffing (1250), the payer name reads "Northwind Holdings FBO Northwind Staffing (1250)". Contact your account manager to turn this on.

Data length limits

Most fields you send Wingspan, including names, addresses, and cities, accept up to 191 characters.

Don't shorten data before you send it. Wingspan makes any adjustments itself, and full-length data can matter for electronic filing even when it doesn't fit on a PDF or envelope.

  • TIN verification uses only the first 70 characters of the name. For best results, leave middle names out of the name field and use the legal first and last name.
  • PDFs wrap long text onto new lines and keep all of it.
  • Mailed forms have these limits:

Mail delivery tracking

Wingspan tracks mailed forms through USPS scanning events. USPS doesn't guarantee every scan happens, scans can arrive out of order, and some deliveries never get a final delivery scan.

To keep statuses reliable, Wingspan reads every available scan and normalizes them into a logical progression. A mailed form with no explicit USPS delivery confirmation is marked Delivered after 6 business days, the standard window for USPS First Class Mail (typically 4 to 6 business days). You can see delivery updates in your dashboard's mailing history.
