Set up 1099 filing
Configure payer information, the 1099 form type, calculation settings, state settings, and team permissions before you generate 1099s.
Use this page to configure Wingspan before you generate 1099s: the payer details printed on every form, whether you file 1099-NEC or 1099-MISC (Box 6), what counts toward each contractor's total, state settings, and who on your team can do what.
You configure 1099 filing in the Wingspan web app. Filing settings aren't available in the V3 API yet. Contact support if you need them through the API.

Before you start
- You need administrator permissions. See Team permissions.
- For the 2025 tax year, settings review opened on December 16, 2025.
Open filing settings
- Go to Tax Filing then 1099 forms in the web app.
- Click Filing settings (or Manage tax filing settings).
Step 1: Verify payer information
- Review the business information that appears on every 1099: Your legal business name, EIN, and address.
- Correct anything that's wrong, and confirm your support contact details.
Your support contact is shown to contractors, and Wingspan support uses it when an inquiry needs to be escalated to you. The support phone number appears in the payer section of each form.
If a contractor is associated with a sub-organization, their 1099 shows the payer as [Primary Organization Name] FBO [Sub-Organization Name] when that option is enabled. See Organizations with multiple accounts.
Step 2: Choose the form type
Choose which form you file for this payer entity:
- 1099-NEC reports non-employee compensation.
- 1099-MISC (Box 6) reports medical and health care payments. When you select it, you confirm that every included payment belongs in Box 6. Wingspan supports only Box 6 on 1099-MISC.
You can change the form type before you generate amounts. After a form is filed, a correction can't change its form type.
Step 3: Configure payment calculations
Choose what Wingspan adds to each contractor's total:
- Off-platform payments: Include payables and invoices marked as paid outside Wingspan.
- Card processing fees: Add debit or credit card fees to the 1099 total, or leave them out.
- Reimbursable expenses: Include or exclude reimbursable line items.
Wingspan uses the payment completion date to decide which tax year a payment belongs to. See year-end payment timing.
Step 4: Review state filing settings
Wingspan identifies the states that need a filing from each contractor's address. You can store state tax IDs for each payer. For the 2025 tax year, state IDs weren't printed on PDFs or sent to state agencies. See State filing.
Step 5: Review contractor and payment information
Make sure every contractor who should get a form is in Wingspan, and every payment made outside Wingspan is imported. See Add contractors and off-platform payments.
How a contractor's profile fills in over time:
- When you add a contractor, individually or in bulk, the profile holds the information you provided, including any W-9 details.
- When the contractor confirms their own details, Wingspan uses their certified information and archives what you provided for reference.
- When the contractor changes their information later, you're notified on the contractor profile.

Step 6: Preview and generate
When generation opens, you see a list of generated 1099s with form type and amount, and a detail view for each form with payer data, contractor data, and the calculated total. See Generate 1099s.
Team permissions
Invite teammates to manage 1099s from Settings then Team in the web app:
- Click Add team member.
- Select the Contractor role for 1099 access.
- If your organization has sub-organization accounts, choose which sub-organizations the teammate can access.
If you belong to more than one team, Wingspan asks which one to use at sign-in. You can set a default team and switch teams with the team switcher at the top left of the page.

Teammates with Contractor permissions can view and edit recipients only in the organizations they have access to.
Sub-organization access
You can limit a teammate to specific sub-organizations so they see only relevant data. Check these assignments before the season: teammates missing access have filed corrections based on incomplete data.
Here's how partial access looks. Sam has access to the "Front of House" sub-organization but not "Back of House". A contractor, Priya Shah, was paid by both. When 1099s are generated, Priya has two forms, one per sub-organization, and Sam sees only the "Front of House" form. That form shows a note that Priya received additional payments from a sub-organization Sam can't access, and tells Sam to ask an admin to update their permissions.
