Update and split tax forms
Change a 1099's amount, recipient details, or status before filing, revert your edits, and split a form when a contractor's TIN changed mid-year.
Use this page to change a 1099 after you generate it and before you file it: the amount, the contractor details, or the filing status. It also covers splitting a contractor's year across two forms when their TIN changed.
You update tax forms in the Wingspan web app. Editing 1099 forms isn't available in the V3 API yet. Contact support if you need it.
This isn't tax or legal advice. Wingspan doesn't give tax advice; consult a tax advisor about which forms you must file.
How edits work
For the 2025 tax year, you could generate and update forms starting January 7, 2026.
Any manual edit turns the form's sync off (Sync disabled): it stops picking up changes from the contractor profile or from payables. Your edits are visible to every teammate with access to that contractor.
You'd typically edit a form to:
- Fill in information that's missing or wrong for filing. If a contractor gave you a paper W-9, enter it on the contractor profile instead, so it syncs to the form.
- Include or exclude a form. Depending on your business, you might need to file a 1099 Wingspan excludes by default (for example, for legal services), or skip one that doesn't apply to you.
- Fix an error, such as an incorrect amount.
Adjust the amount
Before you change an amount, make sure you can see all of the contractor's tax forms. Without access to every sub-organization, you can miss forms for payments from other entities and enter a wrong total.
The amount you enter is the total that appears on the 1099, not a net adjustment. It's shown as a manual adjustment to your teammates and to the contractor.
- Click the Amount field in the form header.
- Enter the new total.
- Click Save changes.
You can't set the amount to $0. To not file the form, set its status to Excluded. A new adjustment replaces any adjustment a teammate made earlier.
Edit contractor information
You can change the name, TIN, address, business name, and tax classification that appear on the 1099. The contractor can see these edits.
- Click Edit next to Contractor details.
- Change the tax information.
- Click Save.
Editing the TIN or name triggers an immediate IRS verification, which may carry a fee.
Update the status
You can override the status Wingspan set on any form that hasn't been submitted to the IRS. After a form is submitted, a manual update submits a correction immediately.
- Click Filing status in the form header.
- Choose the new status and click Confirm.
| Change to | Allowed from | Conditions |
|---|---|---|
| Ready | Action required, Excluded | TIN, name, address, and amount are complete; the amount isn't $0; the contractor is a U.S. person. |
| Excluded | Ready, Action required | The form shows "Manually excluded by {name} on {date}." |
| Action required | Ready, Excluded | The form shows "Status manually updated to 'Action required' by {name} on {date}." |
Important: You can set a form to Ready even when the IRS flagged a TIN and name mismatch. Filing it may lead to an IRS CP2100 or CP2100A notice (a "B-Notice"). Wingspan isn't responsible for B-Notices you receive. You're responsible for any penalties or follow-up the IRS requires.
See 1099 statuses for what each status means.
Revert your edits
You can undo manual edits at any time. Reverting restores the form from the data in Wingspan:
- Amount: Recalculated from your payables, using your calculation settings.
- Contractor information: The information the contractor provided, or what your team uploaded. See Recipient information logic.
- Status: Recalculated from the amount and contractor information.
Check that you won't lose anything you need before you revert. You can edit again afterward.
If a form has sync disabled and the contractor then updates their tax profile, the form shows a notice. You can revert to the contractor's data or keep your edits and file. What you file is your decision as the payer.
What you can't change
- The contractor's email, once they've signed up. Get it right on import.
- Merging forms. Wingspan doesn't merge tax forms.
- An exclusion because the contractor isn't a U.S. person. You can't override it.
Mid-year TIN changes
When a contractor changes their TIN during the year (for example, from an SSN as a sole proprietor to an EIN as an LLC), you file one 1099 per TIN.
Your dashboard then shows two forms for the contractor:
- One for payments before the effective date, under the original TIN.
- One for payments on or after the effective date, under the new TIN.
For a change effective July 1, one 1099 covers January 1 through June 30 under the SSN and another covers July 1 through December 31 under the EIN.
Wingspan assigns payments to each form by payment date and the effective date of the change. Review and act on each form separately: each has its own filing status. If you edited the contractor's form before the change, check both forms to make sure your adjustments landed correctly.
Split a form by hand
If you find that a contractor had two tax profiles in one year and Wingspan didn't split the form, split it yourself.
- Add the second contractor record: In Contractors, click Add Contractor and enter the new legal name, TIN, and a unique email. If the contractor has only one inbox, an alias such as
[email protected]works. Optionally enter the new tax details so the form fills in the TIN. - Generate all 1099s: On the 1099 filing dashboard, click Generate. You'll see two forms: The old TIN, possibly with all the year's payments, and the new TIN, possibly at $0.
- Move the amounts: On the old TIN's form, click Edit next to the total and enter only the portion for that TIN. For example, change $60,000 to $40,000 for January to June. On the new TIN's form, enter the portion you removed: $20,000.
- Check and submit both: Confirm each form's TIN, name, and address. Resolve Action required items, or override to Ready if you're sure. Then submit both through your normal filing. Each is filed under its own TIN.
